Day of
Check-in
Scan QR codes or look up attendees at the door.
Check-in marks an attendee as arrived. It is the main door tool on event day. You do not need to understand every EventOS feature to run check-in. You need a device, network, and access to the event workspace.
What check-in does
When staff check someone in:
- The attendee status updates to arrived / checked-in
- Double scans are easy to spot (already checked-in shows clearly)
- Overview KPIs can show check-in progress for organizers
Ticket QR codes from confirmation emails (or badges) are the fastest path. Name/email search is the fallback when cameras struggle.
Door flow
Open Check-in
On a phone or laptop, open the event workspace and go to Check-in. Sign in as a team member who has access.
Scan or search
Scan the ticket QR code, or search by name, email, or ticket code if the QR will not read.
Confirm details
Verify the ticket type and status (confirmed vs pending/cancelled) before completing check-in.
Complete check-in
Mark the guest arrived. If they were already checked in, the UI should make that obvious so you do not argue at the door.
Roles and volunteers
Invite door volunteers as team members before the event. They should practice one test scan the day before.
Offline and network tips
Practical tips:
- Charge devices fully; bring a power bank
- Print a small backup list of VIP / speaker names if needed
- Have one person own “exceptions” (name mismatch, unpaid pending)
After the door
For food, swag, or session entry, use Checkpoints, which are separate stations with their own entitlement rules.
